Blocking AI doesn't stop AI. It just moves it out of sight.
Every organisation we review has more AI in it than its leadership thinks. Not because staff are reckless — because the tools are genuinely useful and nobody gave them a sanctioned way to use them.
Data you can't trace
Client files, patient notes and draft advice pasted into accounts your business has no administrative view of. If you're asked where that information went, there is no answer you can evidence.
Offboarding that doesn't offboard
A resignation removes their email and their laptop. It does not remove the AI account in their personal name that holds eighteen months of your work.
Settings owned by the wrong person
On a personal plan, the individual controls their own data and privacy settings. Your governance position depends on every staff member configuring their own account correctly, forever.
Connectors nobody approved
Modern AI tools connect to email, file stores and line-of-business systems. Without admin control over which connectors are permitted, that decision sits with whoever clicked “allow.”

This is the single most common misunderstanding we correct. A personal subscription and a commercial plan sit within a few dollars of each other and look almost identical when you open them. What differs is everything a business actually needs to be able to prove.

The answer you need is the one you can give a regulator.
Under the Privacy Act and the Australian Privacy Principles, the obligation sits with your organisation — not with the tool, and not with the staff member who used it. That obligation is difficult to meet on accounts you cannot see.
On a personal plan, your employee decides whether their conversations can be used to improve the model. On Claude Team it isn’t a setting an individual can change at all — and the one exception, rated chats, is something an administrator can switch off.
